Booking ground transport for guests: a guide for travel agents, hotels and PAs
To book a ride for someone else with MAAS Executive, choose “Booking for someone else” in the booking form. Your guest becomes the passenger and you stay the booker: the chauffeur waits with a name sign showing your guest’s name and contacts the guest on the day, while you receive the confirmation and the invoice.
This guide is for travel agents, hotel concierges, PAs and event organisers who arrange transport for other people. It covers who receives what, the company details for the invoice, business accounts, flight numbers and waiting rules, and what to send us so the ride runs smoothly.
Booker and passenger: who receives what
Splitting the two roles keeps communication clear. You keep control of the booking and the paperwork, and your guest only hears from the person who matters on the day: the chauffeur.
- The chauffeur waits with a name sign showing your guest’s name
- The chauffeur contacts the passenger on the day, not you
- You receive the booking confirmation and the invoice
- The passenger can also receive the chauffeur’s details before the ride: tick the option when you book
Company details on the confirmation and the invoice
Under “Booking for a company?” in the booking form you can add your company name, VAT number and a PO number, cost centre or guest reference. They appear on the confirmation and on the invoice, so the ride can be matched to the right trip, client or budget without a separate email.
A hotel can use the reference field for a reservation number; a travel agent for its own file number; a PA for the cost centre of the department that pays.
Business accounts and invoicing
Book regularly for guests or colleagues? Request a business account with your company name, VAT number, the contact person for bookings and roughly how many rides you expect. Our team replies, usually within one working day.
Rides are paid online when booking; for approved business accounts, invoicing after the ride is available on request. Online you pay with iDEAL, Bancontact, Apple Pay or card, at the same price for each.
We are open to a partner arrangement for regular bookers. Tell us about your expected volume and we will discuss it.

Flight numbers and waiting rules
For airport pickups, always add the flight number. The chauffeur follows the flight and plans the pickup on the actual landing time, so delays do not cost you extra waiting time.
Free waiting: 60 minutes at Schiphol and other airports and 45 minutes at Rotterdam The Hague Airport, counted from the actual landing time (the first hour of parking is included), and 15 minutes for other pickups. Extra waiting is €60 per hour, charged per started 15 minutes (€15).
At Schiphol the Meet & Greet is at the official Schiphol Meeting Point unless you ask otherwise. At Rotterdam The Hague Airport the chauffeur waits in the single arrivals hall, where passengers come out of the baggage claim. For private flights at Jet Center Rotterdam, the chauffeur informs the terminal staff and waits in the reception.

What to send us
A complete booking saves a phone call later. For each ride, have this ready:
- The passenger’s name as it should appear on the name sign, and a mobile number for the day
- The pickup address and the destination, as precisely as possible
- The date and time, or the flight number and arrival time for airport pickups
- The number of passengers and suitcases, and anything bulky
- Any stops on the way, and whether a child seat is needed
- Your company name, VAT number and reference for the invoice
- Whether the passenger should receive the chauffeur’s details
Prices you can quote to your guest
Every ride has an all-in fixed price, shown per vehicle before you book: tolls, parking, Meet & Greet and 9% VAT included. That makes it easy to pass a price on to a guest or client. As an example, a business sedan from an address in Rotterdam to Schiphol costs €172.50, and from Schiphol to Rotterdam €195. The minimum fare for a transfer in a business sedan is €75.
Stops on the way: €15 per stop, including 10 minutes at the stop. Booking the return in the same booking gives 10% off the return ride.
Changes, cancellations and short notice
Free cancellation up to 24 hours before pickup. Between 12 and 24 hours before pickup a cancellation may be partly refundable; under 12 hours it may be non-refundable. See the Cancellation & Refund Policy for the details.
Need a ride tonight, or a change on the day? Call or WhatsApp us, 24/7. Online booking needs some notice; the form shows the earliest pickup it can accept.
Booking links and the quote API for your own tools
If you book often, two tools save time. A prefilled booking link opens our booking form with the route already filled in, for example from your own website, an itinerary or a confirmation email to guests. The guest or booker then picks the date, the time and the vehicle and sees the fixed price before paying.
For booking systems and AI assistants there is a read-only quote API that returns the same all-in fixed prices as the booking form, per vehicle, with the free waiting rules and a prefilled booking link. No personal data is involved. The parameters and an example request are on our business page.
