Rotterdam Ahoy events: getting your delegates and speakers there on time

To get speakers and delegates to Rotterdam Ahoy on time, plan around the two moments when everyone moves at once: the start of the programme and the end. Book airport pickups with a name sign, use the Kiss & Ride at Ahoy for drop-off and pickup, and keep a standby chauffeur for speakers and VIP guests whose schedule changes during the day.

From Schiphol to Ahoy a business sedan costs €195 all-in; from Ahoy back to Schiphol €182.50. This guide is for event organisers, congress teams, PAs and agencies.

Arrivals: from the airport to the venue

Speakers and delegates arriving at Schiphol or Rotterdam The Hague Airport are met in arrivals with a name sign and driven to their hotel or straight to Ahoy, at a fixed price. Book for someone else and the chauffeur contacts the guest on the day, while the confirmation and the invoice come to you.

Add the flight number to each booking. The chauffeur follows the flight and plans the pickup on the actual landing time, with 60 minutes of free waiting at Schiphol and 45 minutes at Rotterdam The Hague Airport.

The busy moments: doors open and the final session

The roads and drop-off areas around Ahoy are at their busiest just before a large programme starts and right after it ends, when many visitors arrive or leave within the same hour. Speakers and VIP guests should not be caught up in that rush.

For arrivals, plan the drop-off well before doors open or before the speaker has to be backstage. A speaker due on stage at nine should not be in traffic at a quarter to.

For departures, tell us the end time of the programme, and of the speaker’s own slot if they leave early. We plan the pickup accordingly. If a guest goes straight from a session to a flight, say so: we then plan the timing back from the flight, not from the end of the event.

If the Kiss & Ride is not accessible, the chauffeur coordinates directly with the guest and agrees the nearest pickup point that is quickest and safest.

Kiss & Ride at Ahoy

Drop-off and pickup are at the Kiss & Ride of Rotterdam Ahoy. Tell your guests in advance that this is the meeting point, and share each passenger’s mobile number with us so the chauffeur can call on arrival.

Ahoy is in Rotterdam South, south of the river Maas. From a hotel in the city centre it is a short drive, but on event evenings allow extra time for the bridges and the roads towards the venue.

Standby chauffeurs for speakers and VIPs

A keynote speaker’s day rarely has just one ride: hotel to venue, lunch elsewhere, an interview, back for a panel, dinner, the hotel. Booking separate rides for each leg works, but a chauffeur by the hour is simpler. The same chauffeur stays available, waits between appointments and absorbs schedule changes on the spot.

From €85 per hour for a business sedan, minimum 2 hours. 30 km per booked hour included. Extra km: €1.75 per km for business sedans and the EQS, €2.25 for the S-Class and vans.

Hourly rates: €85 for a business sedan, €95 for the EQS, €120 for the S-Class and €99 for the V-Class.

Groups and delegations

The V-Class seats up to 7 passengers and the V-Class XL up to 8, which suits a delegation, a board or a speaker with their team. For larger groups, a Sprinter VIP (usually 8 to 16 seats, depending on the layout) or a coach (from about 20 up to 50+ seats) is available on request. Several cars at the same time for parallel schedules are possible too: call or email us with the plan so we can confirm availability.

A short checklist for organisers

Send this together, ideally in one list, and we plan the rides around your programme:

  • Guest names for the name signs, and mobile numbers for the day
  • Flight numbers and arrival times, or the pickup address and time
  • Programme times: the start, the guest’s own slot and the end
  • Who receives the confirmation and the invoice, with company name, VAT number and PO number
  • A contact person on your team for changes on the day

Payment and invoicing

Rides are paid online when booking; for approved business accounts, invoicing after the ride is available on request. Booking the return in the same booking gives 10% off the return ride, which is useful for speakers who fly in and out.
